Refunds, cancellation, and deposits
These rules apply to commissioned writing. We do not sell physical goods, course seats, or software licences, so those models are omitted on purpose.
Eligibility
Refunds are about fees for work not yet performed, or work we cannot complete because we decline after seeing the files. They are not a guarantee that conversion will rise after you follow a recommendation.
Timeframe and deposits
Category reviews and seasonal briefings take a 40% deposit on acceptance. If you cancel more than ten working days before the agreed kickoff, the deposit is returned in full within 14 days to the original payment method. If you cancel inside ten working days of kickoff, we keep the deposit for diary time already held, unless we can fill the slot; if we fill it, we return the deposit minus a £150 administration amount.
Full or partial refund after work has started
Once files are in hand and week one has begun, the deposit is non-refundable. If we have delivered the week-two facts pack, we invoice a further 30% of the fee note; that portion is non-refundable because the pack has been written. If we have not yet delivered the facts pack and we agree to stop, you pay for working days already spent at £550 a day, capped at the remaining fee, and we return any unused remainder of sums already paid.
Monthly and weekly packs
Conversion packs invoice a month in advance. Cancel with 30 days’ notice after the three-month minimum; unused full months after that notice are refunded. Trading packs invoice monthly; weeks already prepared are charged. Pause for planned shop closures with two weeks’ notice.
Listing audits
If you cancel before we receive URLs, fees paid are returned minus £150. After URLs are received, work has started; refunds follow the day-rate rule above.
Non-refundable items
Travel booked for a floor visit, once purchased, is non-refundable except to the extent the carrier refunds us. Printed briefing sets already posted are non-refundable.
Rescheduling and no-shows
Readouts may be moved once without charge if you give three working days’ notice. Later moves or a missed readout without notice are treated as delivered. We will still send the PDF.
Range freeze moving
If your freeze date jumps forward inside our three-week seasonal briefing and we cannot meet it, we will cancel and refund sums for work not yet written, keeping payment for days already spent. If freeze jumps backward, we may rebook or cancel under the deposit rules.
Process and timing
Email hello@system-craftbase.click with the fee note reference. We confirm within five working days and refund by the original method within 14 days of that confirmation. We do not refund in store credit because we do not operate a store.
